We process personal data under the Serbian Law on Personal Data Protection (Zakon o zaštiti podataka o ličnosti, “ZZPL”) and, where it applies, the EU General Data Protection Regulation (GDPR).

The site is a set of static files on a server of Hetzner Online GmbH in a data centre in Helsinki, Finland, set up and managed with Laravel Forge. Cloudflare sits in front of the server as content delivery network and proxy, so every request passes through Cloudflare first.

When you open a page, the server and Cloudflare process technical access data: your IP address, date and time, the requested page, status code, amount of data transferred, referrer and browser user agent. We use this data only to deliver the site, keep it secure and investigate errors. The legal basis is our legitimate interest in a secure and working website (Art. 12(1)(6) ZZPL; Art. 6(1)(f) GDPR).

Our server does not keep an access log for the pages of this site. It logs only requests that cause an error and requests that are merely redirected from www.physicalai.rs to https://physicalai.rs, including the IP address. These log files are rotated daily and deleted automatically after at most 15 days. We do not receive or store access logs from Cloudflare.

Cloudflare adds its Web Analytics script (static.cloudflareinsights.com/beacon.min.js) to the pages it delivers. It gives us aggregated numbers: page views and visits, with the page, referring site, country, device type, browser and operating system, plus page load timing. We use it to see whether the site works and how people find the meetup. The legal basis is our legitimate interest in understanding the use of the site (Art. 12(1)(6) ZZPL; Art. 6(1)(f) GDPR).

According to Cloudflare, the script does not store anything in your browser and does not read cookies, localStorage, sessionStorage or IndexedDB, Cloudflare does not track individual visitors across its customers’ sites, and the IP address is discarded at the nearest Cloudflare data centre rather than stored in its databases or logs. We only see the aggregated figures in the Cloudflare dashboard.

Cloudflare, Inc. (San Francisco, USA) processes the data described above as our processor under its Data Processing Addendum, which is incorporated into Cloudflare’s Self-Serve Subscription Agreement. Because Cloudflare is based in the United States, the data may also be processed outside Serbia and the EU. Cloudflare relies on its certification under the EU-U.S. Data Privacy Framework and, should that lapse, on the EU Standard Contractual Clauses included in its Data Processing Addendum.

The venue section near the bottom of the page shows a map from Google Maps. The map is not loaded when you open the page; our script adds it when you scroll close to the venue section, which also happens when you reach the registration section just above it. From that moment your browser connects to Google servers, and Google receives at least your IP address, browser details and the address of this page. Google processes this data under its own privacy policy and may use cookies or similar technologies inside the map frame.

We show the map so you can find the venue easily (legitimate interest, Art. 12(1)(6) ZZPL; Art. 6(1)(f) GDPR). If you do not want the map to load, do not scroll to the end of the page: the venue is CDT Hub, Kneza Miloša 12, Belgrade (small hall, first floor), and the address is also on the event page on Meetup.com.

Google privacy policy

Registration for our events runs on Meetup.com, an external platform. The site itself has no registration form; the “RSVP on Meetup.com” button takes you to Meetup. What you enter there is processed by Meetup under its own terms and privacy policy.

As organisers we see the attendee list of our events on Meetup, with the name and profile details you make visible there. We use it only to run the event, for example to manage the 60 seats and the waitlist.

If you write to [email protected], we process your email address, name and the content of your message to answer you, for example about a talk proposal or a partnership. The mailbox runs on Google Workspace, which Google provides as our processor under its Cloud Data Processing Addendum; Google may process the data outside Serbia and the EU, including in the United States. We keep the correspondence as long as needed to deal with your request and the related cooperation (legitimate interest, Art. 12(1)(6) ZZPL; Art. 6(1)(f) GDPR).

You have the right to:

• access the personal data we hold about you (Art. 26 ZZPL; Art. 15 GDPR);
• have inaccurate data corrected (Art. 29 ZZPL; Art. 16 GDPR);
• have your data deleted (Art. 30 ZZPL; Art. 17 GDPR) or its processing restricted (Art. 31 ZZPL; Art. 18 GDPR);
• receive your data in a portable format (Art. 36 ZZPL; Art. 20 GDPR);
• object to processing based on our legitimate interest (Art. 37 ZZPL; Art. 21 GDPR).

To exercise your rights or ask about your data, write to [email protected]. You can also lodge a complaint with the Serbian supervisory authority (Art. 82 ZZPL). If you live in the EU, you can also complain to the data protection authority in your country (Art. 77 GDPR).
